Our goal is to promote and encourage patients’ health and well-being in a relaxing, professional environment. Each patient is unique, and their skin conditions can change frequently, so we tailor every treatment to what our patients need during their visit. Learn about our Policies & Etiquette Guide as an introduction to our practice, so that we can provide you with the highest standard of service. By scheduling an appointment, you agree to the following policies.

Reservations:

Ensure that you schedule your appointment well in advance so that there will be availability for your desired appointment time. We attempt to remind patients 48 hours in advance of their appointments by phone/email/text. You will not receive a reminder if you choose not to provide your contact information. In the event that the appointment reminder system fails and you do not receive an appointment reminder, it is your responsibility to manage your appointment and adhere to the cancellation policy.

When you schedule your appointment, let the patient concierge know if you have any allergies or sensitivities to aromas or ingredients.

When you schedule an appointment with us, you agree to our cancellation policy outlined in our Policy & Etiquette Guide. During the booking process, a valid credit card or gift certificate is required to guarantee the reservation. If you have a credit card or a gift certificate, please have them ready. In the event of a cancellation or no-show, you will not be billed. As outlined below, patients can choose their method of payment during checkout.

For future appointments, we recommend scheduling your next service before leaving.

Cancellation Policies and Fees:

The time you have reserved for your treatment is yours alone. However, we understand that you may have to cancel an appointment with us occasionally. Your business is valued, and we ask that you respect our scheduling policies.

To ensure the well-being of our patients and staff, we ask that all patients provide at least 24 hours cancellation notice by phone. If you cancel less than 24 hours in advance, you will be charged a full cancellation fee. The scheduled service will be charged in full to patients who fail to show up without prior notification.

We value the time of our clients and staff, which is why we have implemented this policy. In this way, we are able to provide our employees with a higher level of availability for you and others. When you miss an appointment with us, we lose your business and the potential business of other patients who could have scheduled the same appointment. Additionally, at times, our staff functions on an “on-call” status and may have traveled to the practice specifically for your treatment. Due to these reasons, we must compensate our staff for their time and make up for revenue lost.

Any cancellation fees will be waived if your appointment has to be cancelled or rescheduled with less than 24 hours’ notice.

First Visit:

It is recommended that you arrive 15 minutes before your appointment in order to complete the initial paperwork and check-in. Forms for the practice are also available on the practice’s website for you to fill out at your leisure before your appointment.

Check-In:

To achieve a peaceful state of mind before your treatment, we request that you arrive five minutes before your scheduled appointment if you are a repeat patient.

Late Arrival:

Your punctuality is greatly appreciated so we can give you the attention you deserve. In the event that you arrive late for an appointment, we will make every effort to accommodate your entire appointment while avoiding delays in other patients’ scheduled appointments. Our company policy offers two options: 1) You may reduce the length of your treatment to fit within the remaining appointment time. Unfortunately, late arrivals will not be extended. Please plan accordingly, as abbreviated treatments are charged at full value. 2) Reschedule your appointment at a more convenient time. However, a cancellation charge will be incurred. You may reschedule a missed appointment within the same day if there is an opening.

Safety:

We place a high priority on your comfort and well-being. Before your service, please inform us of any medical conditions, including pregnancy or the possibility of pregnancy, injuries, allergies, high blood pressure, sun exposure, ailments, disabilities, or illnesses. Additionally, our professionals will discuss these with you to ensure your treatment is customized to your specific needs.

Personal Belongings:

Jewelry and valuable items should be left at home. The patient is fully responsible for their personal belongings and should keep them at all times. Items that are lost, misplaced, or damaged are not our responsibility.

Practice Environment:

To provide a tranquil environment for relaxation, please turn off/silence your mobile phone during your visit to the practice. To maintain a serene environment, we also ask that guests keep their conversations at a reasonable volume level.

It is recommended that each treatment room be occupied by a maximum of two people. The reception area or front desk are available for anyone accompanying you to your medical spa services.

Smoking is not permitted in our facility in order to protect our clients and employees.

Due to the nature of our treatments and the medical nature of our facility, pets are not permitted in our treatment rooms or relaxation areas. The treatment rooms are only open to patients with service animals.

While we love children, our environment is not conducive to babies and children under 12, so please make appropriate arrangements before your visit. For safety reasons, all those under 18 are not permitted in the treatment rooms unless they have written parental permission and must be supervised by an adult at all times. The late rescheduling fee will be charged to patients who arrive with children or pets.

Prices and Services:

Despite our efforts to keep our website and spa menu up-to-date, prices, services, and products are subject to change without notice at any time. Patients are encouraged to inquire about pricing and available services when booking an appointment.

Payments:

As our medical spa is limited to elective aesthetic medicine, insurance billing is not available. All treatments must be paid for on the day of treatment unless other arrangements have been made. Payment must be made in full before the first treatment. We reserve the right to change prices at any time.

We do not accept checks. The following payment methods are accepted: cash, gift certificates, visa, mastercard, discover, and american express are all accepted.

Gift Certificates:

Our Arcanum Aesthetics gift certificates are available in any amount and are redeemable for any service or product offered (please note that some restrictions may apply). If your gift certificate is lost, misplaced, or stolen, we will not be able to process any returns or reimburse any payments. Gift Certificates are not redeemable for cash. The validity of gift certificates expires one year after they are purchased. When scheduling your appointment, please mention your gift certificate.

Gratuity:

The practice of giving gratuities to physicians or nurses is not common. A gratuity is not required for spa services. Gratuities may be given to the aesthetician directly as cash or check. Credit cards are not accepted for gratuities.

Spa Promotions:

Spa promotions and specials cannot be used with any other offer, promotions, or third-party gift certificates without express permission from the Medical Director. At the time of purchase, we will automatically offer patients the greater discount when more than one discount opportunity is available.

Refunds/Returns:

All services are final sale. No refunds are offered on services rendered, regardless of your satisfaction. Purchased products cannot be refunded in cash. You may return products for an in-store credit within 14 days of purchase if you have a documented allergic reaction. A defective product (e.g., a broken cap) may be exchanged with a receipt within 14 days of purchase for the same product only. Federal law prohibits us from offering refunds or exchanges on prescription products.

Series of Treatments:

In the event that you purchase a medical spa treatment series, we will not be able to process returns or refund any payment transactions. However, we will exchange them for other products or spa credits of equal value. The remaining pro-rated balances will not include the price of promotional treatments in the package. All packages and pre-paid treatments must be used within one year of purchase, or they will expire.

Revisional Treatment or Treatment of Complications:

There is no exact science when it comes to medical aesthetics and medicine. Although good results are anticipated, no guarantee can be given as to whether you will achieve them. We will always strive to achieve the best possible outcome for you. Some patients may require additional treatments and/or treatment for problems or complications. These could result in additional charges for which you may be responsible. If you have it, your insurance may or may not cover the costs of actual complications or other medical problems resulting from your treatment.

Patients under 18 must present written permission from their parents or guardian before their first spa service.

While we love having you as a patient, we reserve the right to refuse service to anyone at any time. If inappropriate language or actions occur, your provider may terminate the service without a refund.

Full Informed Disclosure:

We want you to love the results you get. Each consultation and treatment is preceded by a comprehensive explanation of the risks, benefits, and alternatives. The treatments and products we recommend will be those that are medically appropriate for you, and that will benefit you specifically. Please feel free to ask any questions at any time.
